What the Smart Inbox does
Connect your Gmail, Outlook, or any IMAP mailbox and the Smart Inbox watches for incoming purchase orders. When one lands, AI reads the email and its attachments — PDFs, spreadsheets, and order documents — pulls out the customer, quantities, garments, sizes, print locations, ink colors, and due date, and turns it into a draft job. What used to be manual re-typing becomes a quick review.
How to connect your inbox
Go to Settings → Integrations and connect Gmail, Outlook / Microsoft 365, or any other provider over IMAP. Sign in, grant access, and Kontrol™ starts reading new purchase-order emails automatically. (Separate step-by-step guides cover Outlook and IMAP if you're not on Gmail.)
Review only what's uncertain
You don't re-check the whole order. The Smart Inbox surfaces exactly the fields it isn't confident about and asks you to confirm just those — a size it couldn't read cleanly, an ink color it wasn't sure of. Everything it's certain about is already filled in. Confirm the handful of flagged fields and the draft is ready.
Exception-only review means a clean PO from a regular customer can be one glance and a click, not a form to re-type.
It learns your customers' PO formats
Every correction teaches the parser — per customer. The first PO from a new customer might need a couple of fixes; the next one from that same sender comes in already mapped, because the Smart Inbox remembers how their paperwork is laid out. Repeat senders start parsing instantly.
Revised POs and add-ons link to the original job
When a customer emails an updated PO or an add-on for an order you're already running, the Smart Inbox recognizes it and links it to the existing job instead of creating a duplicate. Every change is written to a Change History trail on the job, so a job already in production never changes silently — you see exactly what moved, when, and from which email.
Auto-drafted quotes from high-confidence POs
When an emailed PO comes in clean and the parser is highly confident, Kontrol™ can go a step further and draft the quote for you, then ping you to review it. You open a ready-to-send quote instead of a blank job — add your mockups, adjust pricing if needed, and send.
New contacts detected from signatures
The Smart Inbox reads the email signature to match the sender to the right customer automatically, and when it spots a new person at a customer you already know, it can add them as a contact — so the buyer who emailed you today is on the record for next time.
